1. Two parallel status layers
Every tender in the system is tracked through two independent status layers:
- Internal status (Stage) — reflects how your organization is processing the tender.
- Real-world status (
tinh_trang_goi_thau) — mirrors the official status on the national procurement portal.
Splitting the two layers lets the team plan internally even when the public portal has not yet been updated.
2. Internal stage pipeline
- Opportunity (
co_hoi) — A relevant tender has just been spotted; we are still evaluating whether to participate. - Preparing — Decision to participate has been made; bidding documents and technical assessment are underway.
- Submitted — The bid has been delivered to the procuring entity and is awaiting results.
- Result received — Official notification has arrived (won or lost).
- Closed — All internal processing is complete.
3. When to move between stages
| Move to | Real-world condition |
|---|---|
| Preparing | Internal decision to bid is made and an owner has been assigned. |
| Submitted | The bid has been submitted to the procuring entity (in person or online). |
| Result received | Official won/lost decision has been issued by the contracting authority. |
| Closed | Internal procedures complete and data has been handed off to Sales or Projects (if won). |
4. Hand-off to other modules
When a tender reaches Won, data can flow forward:
- To the Sales module for contract signing follow-up.
- To the Projects module to begin delivery.
5. Tips
- Always document the reason for losing a tender (when applicable) — this is gold for similar tenders later.
- Use the filter "Preparing + deadline approaching" to prioritize what to work on next.
