1. Why assign owners?
With high tender volumes (sometimes hundreds in flight at once), explicit ownership ensures:
- No duplicate work between team members.
- Every tender has a clearly accountable person.
- Reports can easily be sliced by owner.
2. How to assign
- Open the tender record you want to assign.
- Set the Owner field to a team member.
- (Optional) Move the internal stage to "Preparing" to mark the tender as picked up.
The assigned user automatically becomes a follower and receives notifications for any subsequent change.
3. Notification types
The system pushes notifications to mail and the mobile app for the following events:
| Event | Recipient |
|---|---|
| A new tender matching the filter criteria appears | All members subscribed to the feed |
| A tender is assigned to you | The assigned individual |
| Tender status changes (internal or real-world) | Followers of the tender |
4. Tips for managing hundreds of tenders
- Filter by owner: use the "Owner = me" filter to focus on your tenders.
- Star high-value tenders to track them separately.
- Periodically review tenders that have been sitting in "Opportunity" for too long — close them if no longer relevant.
5. Notes
If a tender is assigned to the wrong person, simply change the Owner field; the new owner is automatically added as a follower while the previous owner retains read access until the tender is closed.
