Milestones, Tasks and Updates on Sales Opportunities
Use Milestones to track payment per contract progress, assign concrete tasks to push the deal forward, and log conversation updates.
1. Three operational tools per opportunity
Beyond the main fields, every opportunity has three supporting entities:
- Milestone — Signing, payment, or hand-off checkpoints.
- Task — Concrete actions needed to advance the deal.
- Update — Conversation history and progress journal.
2. Milestones in a sales opportunity
Unlike project milestones (which measure work done), sales-opportunity milestones focus on payment checkpoints tied to contract progress. For example:
- "30% advance after signing — VND 600M."
- "40% after successful UAT — VND 800M."
- "Final 30% after 6-month warranty — VND 600M."
Benefit: pipeline cash flow is forecast much more precisely than just totalling contract values.
3. Tasks that push the deal forward
Every opportunity tends to spawn small tasks needed to reach the next stage, such as:
- Schedule a product demo for next week.
- Send v2 of the quotation after the meeting.
- Coordinate with the tech lead to prepare technical materials.
- Follow up on customer feedback after a POC session.
Unlike tasks in the Tasks module (tied to projects), these tasks are tied directly to the sales opportunity.
4. Opportunity updates
Every interaction with the customer (call, email, meeting) deserves a short update capturing:
- Channel (call / email / meeting / demo).
- What the customer cared about.
- Next-step commitments from both sides.
This is especially valuable when the opportunity is handed over between team members — a new owner can read the update history and be up to speed quickly.
5. Multi-person collaboration on one opportunity
The module distinguishes three roles per opportunity:
- Sales owner — owns the opportunity and decides go-to-market strategy.
- Sales AM — long-term customer success.
- Tech lead — solution consulting and technical materials.
All three can read/write updates, but stage transitions should be the sales owner's call.
6. Tips
- For deals with multiple milestones, draw a payment timeline in the update so the customer can see expected cash flow.
- An opportunity with no update for 14 days is usually "going cold".
