Creating Tasks and Using the Kanban Board

How to create a task within a project, understand the Kanban structure (stage columns), and which fields to fill in.

1. What is the Tasks module?

The Tasks (To-do) module is where individual work items inside projects are managed — using a Kanban board. This is the most granular level of the system: where the actual work is done and tracked daily.

2. Each project has its own Kanban

An important difference: there is no system-wide stage set. Each project defines its own stage columns (project_task_type) to match its workflow.

For example:

  • Software development: Backlog → To Do → In Progress → Code Review → Testing → Done.
  • Customer rollout: Discovery → Configuration → UAT → Go-live → Warranty.
  • Marketing: Idea → Drafting → Review → Published.

System-wide there can be hundreds of distinct stage columns across projects.

3. Create a new task

  1. Open the project where the task belongs.
  2. Click + Create task on the first stage column (usually Backlog/To Do).
  3. Use a clear, action-oriented name (start with a verb).
  4. Open the detail and fill in:
    • Assignees (one or more).
    • Deadline.
    • Description with full context and links to references.
    • Tags (Dev, Fix Bugs, Design…).
    • Priority.
    • Allocated hours (estimate).
  5. Save and start tracking.

4. Task execution status

In addition to its Kanban stage, each task has its own execution status:

  • In Progress — actively being worked on.
  • Done — finished.
  • Cancelled — abandoned.
  • On Hold — waiting for input from someone else or an external condition.

This is independent of the Kanban stage. A task can sit in "In Progress" column with status "On Hold" because it's waiting on customer feedback.

5. Tips for an effective Kanban

  • Cap WIP in the "In Progress" column — typically 2–3 tasks per person max.
  • Each task should fit in 1–3 days; if longer, split into subtasks.
  • Move cards through the columns regularly — avoid a frozen Kanban.
